This Privacy Policy explains how VMG Strategic Technology ("VMG", "we", "us", or "our") collects, uses, discloses, and protects personal information. It applies to our website at www.vmgst.com and to the managed IT services and technology consulting we provide to our clients.

VMG is a Canadian managed IT services and technology consulting firm based in Bedford, Nova Scotia. We are committed to handling personal information responsibly and in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and other applicable Canadian privacy laws.

Our privacy commitments

  • We collect the minimum personal information we need to do our work.
  • We do not sell or rent your personal information — ever.
  • We protect the information we hold with reasonable safeguards.
  • We disclose information to government or law enforcement only when compelled by valid legal authority.

1. Information we collect

Information you give us

We collect personal information that you choose to provide, such as when you contact us, request a quote, sign up for our services, or open a support request. This can include your name, business name, email address, phone number, mailing address, and the contents of your message or support ticket.

Information we collect automatically

When you visit our website, we and our analytics providers collect limited technical information automatically, including your IP address, browser type, device information, pages viewed, and the dates and times of your visits. We use the following tools for website analytics and usage measurement:

  • Google Analytics 4 — aggregate website traffic and usage statistics. You can opt out using the Google Analytics Opt-out Browser Add-on.
  • Microsoft Clarity — aggregate usage analytics and heatmaps that help us understand how visitors interact with our pages. See Microsoft's privacy statement.
  • Umami — privacy-focused, aggregate website analytics.

These tools may use cookies or similar technologies. You can control or block cookies through your browser settings; some parts of the site may not function as intended if you do.

Client data we handle on your behalf

When we manage networks, systems, or applications for a client, we may handle personal information that belongs to that client or to the client's own customers and staff. We process this information under the direction of the client and in line with our service agreement with them. The client remains the owner of that information and is responsible for its own privacy obligations to the individuals it relates to. If you are an individual whose information is held by one of our clients, please contact that organization directly to exercise your privacy rights.

2. How we use information

We use personal information to:

  • Provide, manage, and support our services;
  • Respond to your inquiries and communicate with you about your account or requests;
  • Operate, secure, maintain, and improve our website and services;
  • Meet our legal, regulatory, tax, and accounting obligations; and
  • Protect the rights, property, and safety of VMG, our clients, and others.

We do not use your personal information for purposes that are incompatible with those above without your consent, and we do not sell or rent it to anyone.

3. How we share information

We do not sell your personal information. We share it only in these limited circumstances:

  • Service providers. We use trusted third parties (for example, hosting, analytics, and software vendors) to help us operate. They may access personal information only as needed to perform services for us and are expected to protect it.
  • Legal authority. We disclose personal information to government bodies or law enforcement only when we are compelled to do so by a valid court order, warrant, subpoena, or other lawful requirement. We do not volunteer your information, and we review such requests for validity before responding.
  • Business transfers. If VMG is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this Policy.

4. How we protect information

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, or disclosure. These include access controls, encryption of data in transit, and limiting access to those who need it to do their jobs. No method of transmission or storage is completely secure, so while we work hard to protect your information, we cannot guarantee absolute security.

5. How long we keep information

We keep personal information only as long as we need it for the purposes described in this Policy, or as long as required to meet our legal, regulatory, and tax obligations. When information is no longer needed, we take reasonable steps to securely delete or anonymize it. Client data that we handle on a client's behalf is retained and disposed of in accordance with our service agreement with that client.

6. Your privacy rights

Subject to applicable law, you have the right to:

  • Ask whether we hold personal information about you, and request access to it;
  • Ask us to correct information that is inaccurate or incomplete;
  • Withdraw your consent to our use of your information, subject to legal and contractual limits; and
  • Make a complaint about how we handle your information.

7. Where your information is processed

VMG is based in Canada. Your personal information may be stored or processed in Canada or in other countries where our service providers operate. Where information is processed outside Canada, it may be subject to the laws of those jurisdictions, including lawful access by their authorities. We take reasonable steps to ensure our service providers protect personal information consistently with this Policy.

8. Children's privacy

Our website and services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can address it.

9. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. We encourage you to review this page periodically.
